1. Introduction

This Privacy Policy explains how SAF Planet B.V. (“SAF Planet”, “we”, “us”, “our”) collects and processes your personal data when you visit safplanet.earth (the “Website”), contact us, or subscribe to our newsletter. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Dutch data protection law.

SAF Planet B.V. is the data controller for the processing described in this policy. We do not sell your personal data.

Controller: SAF Planet B.V., Arnhemseweg 6, 3817 CH Amersfoort, Netherlands. Email: info@safplanet.earth.

2. What data we collect and why

We only collect personal data that you provide to us directly, or that is generated automatically when you use the Website.

Contact form. When you complete our contact form we collect your name, email address, phone number (optional) and the content of your message, in order to respond to your enquiry and follow up on a potential business relationship.

Legal basis: your consent and our legitimate interest in responding to your enquiry; where your enquiry concerns our services, processing may also be necessary to take steps at your request prior to entering into a contract.

Website usage and cookies. When you visit the Website, we and our service providers may collect technical data such as your IP address, browser and device information, and how you interact with the pages, using cookies and similar technologies. We use analytics (Google Analytics 4) to understand and improve how the Website is used. Non-essential cookies are only placed with your consent via our cookie banner.

Legal basis: your consent for non-essential and analytics cookies; our legitimate interest for strictly necessary cookies that make the Website function.

Security and server logs. Our hosting and security providers process limited technical data (such as IP addresses) to keep the Website secure and available and to prevent abuse.

Legal basis: our legitimate interest in the security and integrity of the Website.

Business contacts. If you become a client or business partner, we process the contact and transaction details necessary to provide our services and meet our legal obligations.

Legal basis: performance of a contract; compliance with legal obligations such as accounting requirements.

3. Cookies

The Website uses cookies. Strictly necessary cookies are required for the Website to function. Analytics and other non-essential cookies are used only with your consent, which you give through our cookie banner and can withdraw at any time by adjusting your cookie settings.

4. How we share your data

We share personal data only with service providers (“processors”) who process it on our behalf under a data processing agreement, including:

  • our hosting provider (Hostnet, Netherlands);
  • our email provider (Google Workspace);
  • our website analytics provider (Google);
  • our content delivery and security provider (Cloudflare);

We may also disclose personal data where necessary to comply with a legal obligation or to protect our legal rights.

5. International transfers

Some service providers (such as Google and Cloudflare) may process data outside the European Economic Area, including in the United States. Where this happens, we rely on appropriate safeguards — such as the European Commission’s Standard Contractual Clauses or an adequacy decision — to ensure your data remains protected.

6. How long we keep your data

We keep personal data only as long as necessary for the purposes above: enquiry data for as long as needed to handle your request and any resulting relationship; newsletter data until you unsubscribe; and data we are legally required to retain (such as for accounting) for the applicable statutory period.

7. Your rights

Under the GDPR you have the right to access your personal data; to have it corrected or erased; to restrict or object to its processing; to data portability; and, where processing is based on consent, to withdraw that consent at any time without affecting processing carried out beforehand. To exercise any of these rights, contact us at info@safplanet.earth.

8. Complaints

If you have a concern about how we handle your personal data, please contact us first. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).

9. Changes to this policy

We may update this Privacy Policy from time to time. The current version is always available on the Website, with the “last updated” date shown at the top.
